The role of Workplace coordinator in the London office is a role needed to support the Workplace Lead. The role’s aim is to offer day to day support and ensure the lead can focus on the long term success of the office and remote workers experience. The role is integral to the smooth running of the office regardless of how many people are in, what events are happening or which guests are visiting.

What this job is:
- Supporting the London Workplace Operations Lead in keeping the floors across the London office running smoothly day to day.
- Supporting Brainlabbers and ensuring they have everything they need to thrive in their roles.
- Being on site every day and acting as the point of contact for all things office related.
- Building the best atmosphere and vibe for our adaptive working environment
- Supporting remote employees with their ‘Workplace’ and acting as a point of contact for any requests/concerns they may have
- Providing hands on support to everyone in the office, from preparing meeting rooms, authorising access passes, greeting guests in reception.
What this job isn’t:
- A desk based job that looks the same on a day to day basis.
- A role that can be completed anywhere/remotely
Give me a breakdown of what a Workplace Coordinator at Brainlabs does:
- Ensures the office atmosphere and vibe is ready for great adaptive working
- Completes daily post runs and ensures all correspondence reaches the correct individuals
- Creates access passes for new joiners and manages the door access system to ensure it is accurate and secure
- Ensures the office is set up each morning ready for the day ahead
- Supports EAs and admin teams to ensure guests & clients have an excellent experience in the office
- Supports the rest of the Workplace team with new joiner onboarding, including procuring and preparing equipment
- Supports the rest of the Workplace team with off-boarding leavers, specifically collecting equipment and ensuring it is serviced and re-purposed
- Responds to help desk enquiries and ensure the reporting is completed on each ticket.
- Creates reports on recurring help desk tickets and raises to the workplace team to improve the area
- Communicating with building management as and when issues arise and following up daily until the issue is resolved
- Lead the organisation of the Marketplace UK quarterly meet up
- Act as the point of contact for Marketplace UK & other remote employees for anything Workplace related: equipment, travel, passes for offices, IT
- Ensuring the Workplace Wiki is kept up today with all processes
- Stock check and ordering to ensure the levels of food & drink in the office are sufficient for the days ahead
